Meeting summary:
  1. Senior Activities: Approximately 10 seniors on the baseball team this year. Ashley and Susan will lead senior-related activities and specials. Due to the passing of Leonard Hill Jr., we may need to find another photographer for senior photos.

  2. Coaches' Report:

    • Training Start: Lifting sessions for players will begin on December 9.

    • Privacy Screen Proposal: Coach Hadley suggested adding plastic slats to the outfield fence for privacy and will obtain a quote for 570 feet of fencing.

  3. Field Improvement Budget: A motion was approved to allocate $8,000 toward field improvements. This funding may be contingent upon school approval to retain the funds.

  4. Sound System Donation: A $5,500 check from Park National Bank was accepted, designated for the new sound system for the baseball field.

  5. Grand Opening Event: Plans will be made to host a grand opening event for the new field improvements.

  6. Field Drainage: John Lanning highlighted the need to improve drainage on the baseball field, which was agreed to be a priority. A point person for this project needs to be assigned.

    • 3-Point Shot Contest

    • Apparel Sale (Vendor selection needed for this year)

    • Concessions: Interest in managing high school concessions; Ryan will contact Nezbeth to express interest.

    • Race Event: Similar to the soccer team's races, with a follow-up needed with Heather Devoll.

    • Golf Outing: Agreed to pursue organizing a golf outing.

    • OSU Tailgating Work: Exploring opportunities for parents to work Ohio State University tailgating events as a fundraiser.

  9. Board Nominations Needed: Open positions include Treasurer (Ashley expressed willingness to serve), Secretary, and grade-level representatives.

  10. Concessions Management: John will assist with stocking and managing concessions.

Action Items
  1. Decide how and where to allocate field improvement funds. Options include:

    • Fence Slats

    • Concessions Siding

    • Field Drainage

  2. Select a project manager for the Field Drainage project.

  4. Select a vendor for the Apparel Sale.

  5. Choose a date for the Grand Opening Event.

Special note:

The school has selected Lepi as the vendor for facility improvements and has approved our use of the $8,000 we pledged toward these upgrades to be used at our discretion. This funding can be allocated toward concessions, field drainage, and fence slats. The school board will finalize these plans at their upcoming meeting on November 14.

Currently, the field fund stands at $11,976. We need to gather cost estimates for each proposed project to move forward efficiently. For the concessions improvement, we might explore alternative materials to metal siding to reduce costs. John previously estimated the drainage project at around $8,000, but we’ll assess ways to lower that expense too. Once we receive the fence slats quote, it would be beneficial to meet to discuss and make decisions. A follow-up meeting may be needed soon to finalize project details and budgets.
